How Make.com, Zapier, Google Sheets and an OpenAI assistant turned Google Maps review replies into a five-minute-a-week job.
For service providers like Serwisokien.co, or multi-location networks like Park Medical Clinic, staying on top of Google Maps reviews is both essential and exhausting. Miss a review, reply late, or reply inconsistently, and it shows: reviewers notice, and so do the people reading them later.
What we built
An automated review-response system for Serwisokien.co running on Make.com, Zapier, Google Sheets and an OpenAI assistant, tuned to the client’s own tone of voice. Here’s the flow:
- Capture and log. Zapier detects a new review the moment it lands and logs the content, rating and details into a central Google Sheet.
- Generate a reply. An OpenAI assistant trained on the client’s past responses drafts a reply, adjusting tone for praise, questions or complaints.
- Approve and adjust. Every draft goes through a quick approval step before it goes live, so the team can tweak anything that needs it.
- Post automatically. Once approved, the reply is published to Google Maps without anyone opening the dashboard.
The result
- Consistent voice, every time. AI-drafted replies stay on-brand regardless of who approves them.
- Real time savings. For a single-location business it saves hours a week; for a network like Park Medical Clinic (38 locations, roughly 5 reviews per location weekly) the collective saving runs past 47 hours.
- Faster engagement, since every review gets a timely reply instead of queuing behind whoever has time that day.
- A growing feedback archive in Google Sheets, making it easy to spot sentiment trends over time instead of losing them in Google’s own interface.
Takeaway
